[QODBC-ALL] Does QODBC Send My QuickBooks Data to FLEXquarters? Understanding QODBC Data Security and Privacy

Problem Description:

Customers evaluating QODBC often ask whether the software transmits QuickBooks company file data to FLEXquarters (QODBC's vendor) servers. This FAQ covers what data QODBC collects, where data flows, and what information - if any - leaves your local machine during normal operation.

Affected products: QODBC Desktop, QODBC Online, QuickBooks Desktop, QuickBooks Online
Expected outcome: After reading this article, you understand that QODBC does not transmit QuickBooks company file data to any external server and that all data interactions are local.

Symptoms:

  • Customers or IT teams request security documentation before deploying QODBC in their organization.
  • Questions about whether QODBC sends telemetry, usage data, or company file contents to FLEXquarters servers.
  • Concerns about where credentials and authentication tokens are stored during QODBC Online setup.

Cause:

QODBC is a local data access tool. It communicates with QuickBooks through the QuickBooks SDK, which requires an active desktop session on the local machine. No QuickBooks company file data is ever sent to FLEXquarters servers.

Environment:

ProductVersion / Detail
QODBC Desktop All versions
QODBC Online All versions
QuickBooks Desktop All editions
QuickBooks Online All editions

Solution:

QODBC Desktop - Data Flow and Privacy

QODBC Desktop accesses data from QuickBooks using the QuickBooks SDK, an embedded feature of the QuickBooks Desktop application. The key points are:

  • No external data transmission: QODBC does not transmit any QuickBooks company file data to QODBC servers or FLEXquarters.com. All interactions between QODBC and QuickBooks occur locally through the QuickBooks SDK on your own system.
  • No online processing: No information from your QuickBooks company file - including file name, company name, or any other data - is sent to QODBC servers or FLEXquarters.com.
  • Active desktop session required: The QuickBooks SDK requires someone to be logged into the machine because QuickBooks is a desktop-based application.

License Check - What Data Is Sent

FLEXquarters conducts regular license checks to verify software validity. During these checks, the following system information is securely sent to the licensing server:

  • QODBC serial number (CDKEY)
  • Current IP address
  • Machine name and username
  • Windows OS version
  • QuickBooks version
  • A few system identification values

Importantly: No QuickBooks company file or QuickBooks company-related information is included in license checks.

Telemetry - No Collection

QODBC does not collect or transmit:

  • Usage data or application performance metrics
  • User behavior information
  • System health data
  • Any QuickBooks company file data

The only data transfer that occurs is for regular license checks, as described above.

Crash Reports

If QODBC encounters a crash, you may be prompted to send a crash report. The information submitted can be reviewed in the prompt before sending. Submitting this report is entirely optional.

QODBC Online - Token Exchange and Data Flow

QODBC Online also does not share any QuickBooks or QuickBooks data-related information with FLEXquarters. The behavior differs slightly for authorization:

  • Token exchange is one-time: When you authorize QODBC to connect to a new QuickBooks Online company, the token exchange goes via a subdomain of qodbc.com. This occurs only once per QuickBooks Online company file.
  • Direct API communication: Once the token is exchanged, all communication between QODBC Online and the QuickBooks Online API is direct. It does not pass through QODBC servers or FLEXquarters.com.
  • License checks and crash reports follow the same model as QODBC Desktop.
