QODBC Licensing - Cloned VMs and Duplicate SoftwareID Issues

Problem Description:

When QODBC licenses are activated on cloned virtual machines, the activation may fail or cause one VM to deactivate another. This occurs because QODBC licensing identifies machines by a unique Software ID, not by computer name. Cloned VMs share the same Software ID out of the box.

Symptoms:

  • A QODBC license activates on one cloned VM but immediately deactivates on another cloned VM (or vice versa).
  • Activating a CDKEY on a cloned VM causes a previously-activated machine with the same cloned image to show as deactivated.
  • The activation shows "authorized quantity exhausted" even though not all licenses are in use.
  • Only some machines can activate - additional activations cause earlier ones to drop off.

Cause:

  1. QODBC's licensing mechanism generates a unique Software ID for each machine during installation. No two legitimate machines share the same Software ID.
  2. When a VM is cloned, the new clone inherits the original machine's Software ID.
  3. During activation, QODBC matches the Software ID against its records. If it finds an existing activation with the same Software ID, it deactivates that previous record and activates the current one - effectively "stealing" the license slot from the other VM.

Environment:

ProductVersion / Detail
QODBC Desktop (v24+) All versions with Software ID–based licensing
Affected Deployments Cloned VMs, golden images, VDI templates, Citrix MCS pools

Resolution:

The goal is to change the Software ID on the affected cloned machine so it becomes unique. The most reliable method is to cycle deactivation/activation to generate a new ID.

Step 1: Open QODBC Setup

  1. On the affected VM, open QODBC Setup. Navigate to Start → All Programs → QODBC Driver for QuickBooks → Configure 32-Bit QODBC Data Source (NOT 64-Bit).
  2. Select System DSN, highlight "QuickBooks Data," and click Configure.

Step 2: Check the Current Software ID

  1. Go to the Activate/Deactivate tab. Note the current Software ID shown on the About tab.
  2. Deactivate the current CDKEY. This frees the slot.
  3. Close the Setup Screen completely.

Step 3: Generate a New Software ID

  1. Re-open the Setup Screen. Navigate to System DSN → QuickBooks Data → Configure again.
  2. Check the About tab again. The Software ID should have changed (e.g., from 006598495600 to 006598495601).
  3. If still duplicated, repeat deactivation → close → reopen a few more times until the Software ID is unique.

Step 4: Clear the Old Activation and Reactivate

  1. Contact QODBC Support and request that the old activation record be cleared from their backend (to allow a fresh activation).
  2. Activate the CDKEY on the cloned VM using your licensed key.
  3. Verify in QODBC Setup → About tab that the Software ID is unique and does not match any other machine's ID.

Additional Notes:

  • The Software ID cycles through a sequence (e.g., 006598495600, 006598495601, ...). You may need to cycle several times before finding an unused ID.
  • QODBC Support can clear stale backend activation records to allow fresh activations.
  • For VDI/Citrix MCS environments, consider using PowerShell or sysprep on the VM template before cloning to ensure unique Software IDs are generated.
  • If you have a multi-machine license and multiple cloned VMs share IDs, activate them one at a time (never simultaneously) while cycling Software IDs for each.
  • Uninstalling QODBC does not clear the Software ID - only reinstalling or cycling generates new ones.
