[QXL Desktop] Automating Data Export with QScheduler and Silent Mode Shortcut

Problem Description:

You want to automate scheduled QXL data exports (e.g., running a QXL export twice daily) using QScheduler and the shortcut "silent mode" parameter. The shortcut either fails with an error or does not produce any export.

Affected products: QXL Desktop, QScheduler, QuickBooks Desktop
Expected outcome: A QXL shortcut with the silent parameter runs successfully on schedule via QScheduler, exporting data automatically without opening the QXL UI.

Symptoms:

  • A shortcut created from within QXL (via "direct run" or generated parameters) fails when executed via QScheduler.
  • The shortcut parameter includes /silent (or similar), but the export does not run.
  • Running the same shortcut manually from the QXL interface works, but automation via scheduler does not.
  • An error dialog or log entry appears indicating the export failed to start.
  • QuickBooks may appear slow during scheduled export windows or disconnect intermittently.

Cause:

A bug in older QXL builds prevented the silent mode shortcut parameter from functioning correctly when executed externally (e.g., via a scheduler).

The issue is specific to the silent/automated execution path - the QXL UI itself works normally. The bug was fixed in QXL release candidate build 24.0.0.046.

Resolution:

  1. Download the latest QXL Desktop Release Candidate (RC):
    Installer: QXLSetup.exe
    Readme: readme.rtf
  2. Close all applications that use QXL or QuickBooks.
  3. Uninstall the current version of QXL.
  4. Install the downloaded RC installer.
Do not deactivate your existing CDKEY/License during this process.
  5. Restart Windows.
  6. Verify the version change: Open QXL, click the Settings/Options icon, and navigate to the About window to confirm the new version number is displayed.
  7. Re-create your QXL shortcut with the silent parameter: Open QXL, set up your export configuration normally, then generate the "direct run" shortcut from the QXL interface. This ensures the correct parameters are used.
  8. Test the shortcut manually before scheduling it in QScheduler. Double-click the shortcut file to verify the silent mode export completes successfully.
  9. Add the tested shortcut to QScheduler with your desired schedule (e.g., twice daily). Verify that scheduled runs produce exports as expected.

Additional Notes:

  • If QuickBooks slows down during scheduled exports, consider spacing out concurrent QXL operations or using the "Close Connection After Export" setting (set to 1) in QXL Settings/Options to reduce memory pressure.
  • The "silent" parameter only works after installing the RC build if you are on a version prior to 24.0.0.046. Older builds will continue to fail silently or with errors when executed via external schedulers.
  • Your existing QODBC license carries over - there is no need to purchase a new license for the RC build.

Example Scenarios:

Scenario 1 - Daily invoice export at 8 AM and 4 PM:

A customer used QScheduler to run a QXL shortcut with the silent parameter twice daily. The original shortcut failed until they upgraded to QXL RC 24.0.0.046. After reinstalling and re-creating the shortcut from the QXL interface, scheduled exports ran successfully at both times without manual intervention.
