[QODBC Desktop] QODBC Optimizer - How to Enable, Rebuild, and Troubleshoot Performance
Problem Description:
Users may encounter slow query performance when retrieving large datasets (e.g., Invoices, Transactions) from QuickBooks using QODBC. Specifically, queries that should be fast are taking an unusually long time to complete, or the "end of transmission" (closing the connection/results) appears to hang.
Affected products: QODBC Desktop, QODBC Online, QuickBooks Desktop Expected outcome: Using the QODBC Optimizer feature to significantly reduce query response times and ensure smooth data retrieval.
Symptoms:
- Queries on large tables (e.g.,
Invoice, Customer) are extremely slow.
- The connection appears to hang or time out during the closing phase of a large data transmission.
- Executing a query with the
UNOPTIMIZED keyword returns results much faster than a standard query.
- The application (e.g., MS Access, Excel, Power BI) becomes unresponsive during data refreshes.
Cause:
The QODBC Optimizer is a feature designed to cache and index QuickBooks data locally to speed up subsequent queries. Over time, if the QuickBooks company file changes significantly (e.g., large transactions, deletions, or restructuring), the local optimizer cache may become out of sync or corrupted.
When the optimizer cache is out of sync, the driver may struggle to reconcile the cached data with the live QuickBooks data, leading to extreme performance degradation or hangs during the "end of transaction" phase.

| Issue Scenario |
Queries are slow or hang, but "UNOPTIMIZED" queries are fast. |
Solution:
If you suspect the optimizer is causing performance issues, you should first verify if it is enabled and then attempt to rebuild it.
Step 1: Verify that 'Use_Optimizer' is Enabled
The Optimizer must be actively enabled in the driver configuration to provide any benefit.
- Navigate to the 32-bit QODBC Setup Screen:
Start → All Programs → QODBC Driver for QuickBooks → QODBC 32-bit Setup Screen
- Navigate to the Optimizer tab.
- Ensure the 'Use_Optimizer' checkbox is checked.
Step 2: Rebuild the Optimizer (Reload All Data)
If the optimizer is enabled but queries are still slow, the cache may be corrupted. Rebuilding the cache is the most effective fix.
- In the same Optimizer tab mentioned above, locate the 'Reload All Data' button.
- Click 'Reload All Data'.
- QODBC will begin scanning your QuickBooks company file to rebuild the local index and cache. Note: For very large company files, this may take several minutes.
- Once the process completes, attempt your queries again using the standard
SELECT statement.
How to Test if the Optimizer is the Problem
You can perform a quick diagnostic test using any ODBC-compliant tool (e.g., QODBC Test Tool, Excel, MS Access) by comparing a standard query against an unoptimized one.
Test 1 (Standard Query):
SELECT * FROM Invoice
Observe the time taken to return results.
Test 2 (Unoptimized Query):
SELECT * FROM Invoice UNOPTIMIZED
Observe the time taken to return results.
Analysis: If the UNOPTIMIZED query is significantly faster than the standard query, it is a definitive sign that the Optimizer cache is corrupted and must be rebuilt using the 'Reload All Data' method described in Step 2.
Additional Notes:
- Performance Trade-off: While the optimizer speeds up reads, the initial "Reload All Data" process consumes CPU and disk I/O. Schedule this during off-peak hours for very large company files.
- Automation: The optimizer works automatically once enabled, but manual rebuilds are necessary after significant database changes.
- ⚠ Critical Risk - Optimization Can Delete ALL Records: Running
Sp_optimizefullsync or "Reload All Data" on a table can cause it to lose all rows. This happens when the optimizer rebuild process fails mid-way (e.g., QuickBooks closes during sync, connection drops, or the company file is opened by another session). Always back up the QODBC database before running a full optimizer rebuild.
