[QODBC Online][QXL Online] QODBC and QXL for QuickBooks Online - Products, Trials, and Data Availability

Problem Description:

Customers migrating from QuickBooks Desktop to QuickBooks Online often ask whether QODBC and QXL products work with QuickBooks Online, what data is available, and whether existing Desktop licenses can be used or upgraded for online use.

Affected products: QODBC Desktop, QODBC Online, QXL Desktop, QXL Online, QuickBooks Online
Expected outcome: Customers understand the correct product to download for QuickBooks Online, that separate trials are available, and what data limitations exist compared to Desktop.

Symptoms:

  • Customer is migrating from QuickBooks Desktop to QuickBooks Online and wants to know which QODBC/QXL product to use.
  • Customer already owns a Desktop license and asks if they can upgrade or get a trial for the online version.
  • Customer cannot find certain tables (e.g., transaction tables) that were available in QuickBooks Desktop but are not listed in the QODBC Online data layouts.

Cause:

QODBC and QXL for QuickBooks Online are separate products from their Desktop counterparts. They use different connection methods (OData API vs. SDK) and have different data availability.

  1. QODBC Online is a different product from QODBC Desktop. Both can reside on the same machine without conflict, but they are not interchangeable - a Desktop license does not grant access to the online version.
  2. QXL Online is a different product from QXL Desktop. Similarly, a Desktop QXL license does not include QXL Online.
  3. QuickBooks Online exposes less data than QuickBooks Desktop. Any table or report not listed in the QODBC Online data layouts is not available through the API at this time - this is a limitation of QuickBooks Online's OData feed, not of QODBC.

Environment:

ProductPurpose
QODBC for QuickBooks Online ODBC access to QuickBooks Online data tables and views
QXL for QuickBooks Online Excel-based reporting tool for QuickBooks Online data
QuickBooks Online Cloud accounting platform (data availability is determined by Intuit, not Flexquarters)

Solution:

  1. Download the correct product for QuickBooks Online.
  2. Both products include a 30-day trial for QuickBooks Online. A new Desktop license does not transfer to the online version; use the free trial to test compatibility with your environment.
  3. Check data availability before migrating. Review the QODBC Online data layouts at https://qodbc.com/data-layouts/. Any table or report not listed there is not available through the QuickBooks Online OData feed.
  4. If a transaction table is missing, it means QuickBooks Online does not expose that data via its API. This is an Intuit limitation, not a QODBC issue.

Example Scenarios:

Scenario 1 - Migrating from Desktop to Online:

A company uses QODBC Desktop for QuickBooks Desktop and wants to continue querying data after switching to QuickBooks Online. They download QODBC for QuickBooks Online (separate product), test with the 30-day trial, and verify that their reports can be rebuilt using the available tables. Any missing tables are confirmed as unavailable in QB Online's API.

Scenario 2 - Checking data availability:

A user needs to pull transaction data from QuickBooks Online into SQL Server. They visit https://qodbc.com/data-layouts/, look up the transaction table, and find it is not listed. Mark confirmed: "QuickBooks Online does not make as much data available to us for Online compared to Desktop QuickBooks. If you don't see it in the listing of tables, they don't make it available to us at this time."

Additional Notes:

  • Desktop and Online products can coexist. QODBC Desktop and QODBC Online can be installed on the same machine without conflict, allowing a gradual migration from Desktop to Online.
  • Data availability is determined by Intuit. Any limitations in which tables or reports are accessible through QODBC Online are imposed by QuickBooks Online's OData API, not by Flexquarters.
  • No cross-license transfers. A Desktop license does not grant access to the online version. Both have separate licensing and trials.
