[QODBC Desktop] How to Configure QODBC Auto-Login for QuickBooks Desktop and Reckon Accounts
Problem Description:
QODBC can connect to a QuickBooks company file without manually opening or logging into the application. This "auto-login" feature allows external applications (Excel, MS Access, SQL Server, etc.) to query and update data through QODBC even when no user is logged into QuickBooks.
Affected products: QODBC Desktop, QuickBooks Desktop, Reckon Accounts Expected outcome: External applications can connect to QuickBooks/Reckon via QODBC without a user being actively logged in, provided auto-login is properly configured.
Symptoms:
- QODBC connections work normally when QuickBooks is open and a user is logged in.
- Connections fail when QuickBooks is closed or the user is logged out, even with auto-login enabled.
- The QODBC Test Tool returns an error saying it cannot find the company file or cannot connect to QuickBooks.
Cause:
Auto-login functionality relies on the QuickBooks SDK background service. In QuickBooks Desktop versions prior to 2023, auto-login works reliably: when QODBC attempts a connection, QuickBooks silently loads the company file in the background without user interaction.
Important change with Reckon 2023: Auto-login functionality no longer works in Reckon Accounts Enterprise 2023 and newer versions. This is a known issue reported to Reckon (CAS-295937-X0D2R5) and remains unresolved.
Important
If you are using Reckon 2023 or newer, auto-login will not work. You must keep Reckon running and logged in to the company file for QODBC connections to succeed.
Environment:
| Product | Version / Detail |
| QODBC Desktop |
All versions |
| QuickBooks Desktop |
2022 and earlier - auto-login works |
| Reckon Accounts Enterprise |
2023 and newer - auto-login does not work |
Solution:
Step 1: Verify Company File Path Matches
The QuickBooks company file path configured in the QODBC DSN must match the path shown in QuickBooks (press F2 in QuickBooks to view it).
- Open the QODBC 32-bit Setup Screen: Start → All Programs → QODBC Driver for QuickBooks → Configure QODBC Data Source.
- Select System DSN, highlight "QuickBooks Data", and click Configure.
- On the General tab, locate the company file path. Ensure it matches exactly what QuickBooks shows.
Step 2: Test Auto-Login
- Log in to QuickBooks as the administrator and open your company file.
- Open the QODBC 32-bit Test Tool and connect to your data source.
- Run a simple query:
SELECT * FROM Customer
- Log off QuickBooks - but do not close the application.
- Close the Test Tool and reopen it. Attempt to connect again.
- If successful, QuickBooks loads silently in the background and the connection succeeds without user interaction.
Step 3: Terminal Services / Remote Desktop Workaround (Reckon 2023+)
If you are using Reckon 2023 or newer on a terminal server or remote desktop:
- Keep the Reckon/QuickBooks application running (do not close it entirely).
- Log in to your company file in Reckon/QuickBooks.
- Ensure QODBC connections are made while Reckon is logged in and the company file is open.
Additional Notes:
- ⚠ OneDrive caveat: Auto-login may fail if the QuickBooks company file is stored in a OneDrive-synced folder. Customer confirmed: files must be on a local C: drive or network drive path, not accessed via OneDrive sync. If auto-login works from one location but fails from another (e.g., after switching to/from OneDrive), check the file's actual storage location.
- Multiple company files: When pulling data from multiple QB companies in one application, create a separate System DSN for each company file. Both users can refresh the same Excel workbook using those shared System DSNs.
- Terminal Services: On terminal servers/remote desktop, keep QuickBooks running (no need to log in) as an additional workaround if auto-login fails.
