[QODBC Desktop] - How to use QODBC with Avanquest Bookkeeper using Bookkeeper QuickBooks Integrator.

Problem Description:

I would like to use the new QuickBooks integrator module from Bookkeeper to allow me to import data directly into Bookkeeper.

 

Solution:

1. Create a New Company in Bookkeeper

    • Launch Bookkeeper and create a new company (this will be the target for the QuickBooks data).


 

    • Choose the standard setup.


 

    • Enter basic company info (it will be overwritten during import).

    • Set:

      • Accounting method (irrelevant, will be replaced).

      • Next fiscal year end.

      • Advanced Payroll (ensure this is selected).

    • Set a password.

    • Select “Import from QuickBooks” and click Import.


 Please ensure you have downloaded and installed the "QuickBooks Integrator tool"

 

2. Prepare the Bookkeeper Database for Integration

    • Click “Prepare Integration” in Bookkeeper.


 

    • Ensure you have taken a backup of your Bookkeeper database.


 

    • Bookkeeper will copy the integration tool to the Integration folder and will shut down the Bookkeeper application.

 

    • This will copy the database to a staging area for the integrator module.

 

3. Open QuickBooks

    • Start QuickBooks and log in to the QuickBooks company file as QuickBooks user "Admin".

    • Important: Do not run QuickBooks as an administrator.

       

4. Open the QuickBooks Integrator Module

    • Double-click on the QuickBooks Integration tool from the Desktop

    • Important: Do not run QuickBooks as an administrator.

    • Click the "Connect" button.


 

    • When prompted by QuickBooks, allow access and confirm the connection.


 

    • You should see the QuickBooks company name.

 

5. Connect to Bookkeeper

    • Click “Connect” in the Integrator to connect to the Bookkeeper company you created.

    • Select the correct company from the dropdown list if needed.


 

    • Select the Bookkeeper company from the list.


 

6. Configure Import Options

    • Optionally select a start date to limit historical data.

    • By default, company info, bank accounts, and chart of accounts are imported.

    • Choose whether to import:

      • Transactions

      • Lists (customers, vendors, etc.)

    • Click “Start” to begin the import.

       

7. Monitor the Import Process

    • The integrator will show status messages and record counts.

    • Large datasets may take hours, depending on size.

    • Let the process complete fully.


 

8. Finish Integration in Bookkeeper

          • After completion, close the integrator module.

          • Launch Bookkeeper from the desktop. Right click on the Bookkeeper shortcut icon and click Run as Administrator.


          • Go to File > Import > Complete Integration.


          • This copies the staged database back into Bookkeeper.


          • This copies the staged database back into Bookkeeper.


        • The Bookkeeper application will restart.


9. View Imported QuickBooks Data

        • Reopen Bookkeeper (Run as Administrator).

        • Log in with your set password.


      • You’ll now see all your QuickBooks data:


        • Bank accounts

        • Customers

        • Vendors

        • Transactions

 Important Tips

      • Don’t run QuickBooks or the Integrator as Administrator.

      • Run Bookkeeper as Administrator only during the final import step.

      • Be selective with data to import to save time and avoid performance issues.
